What this page is

Every maintenance problem that is reported lands on this register — from the web form, email, QR code, SHE Rep, the maintenance or training matrix, or a failed item on an inspection. Open requests are at the top, then In Progress, Completed and Closed.

How a request becomes work

  1. A problem is reported and appears here as Open.
  2. Click View to open the request.
  3. From the request, create a job card. On the job card choose the technician (and assistant if needed) and type the planned hours.
  4. The job card number then shows in the Job Card column on this register. Click it to open the job card.
  5. The technician does the work. The job card is updated as it moves along, and set to Completed and then Closed.

The columns

Ref #The request number.
SourceWhere the request came from. Inspection items are coloured by department (yellow Safety, blue Health, red Fire, and so on).

The buttons

  • View opens the request, where the job card is created or opened.
  • Delete only shows while a request is still Open (before any work started). It cannot be undone.
  • Filter / Reset — search by ref, name, area or description, and filter by status.
  • ⛶ Expand opens the register full-screen in a new tab, with extra columns (email, closed by).
  • + Log New Request — report a new problem.

How Field Ops (HR) measures this work

Field Ops reads the job cards directly — nobody types anything twice. For each person in the Field Ops team, per month:

  • Jobs — every job card where the person is the technician or the assistant. A job counts as done when its job card is Completed or Closed.
  • Hours used — the planned hours of the jobs that are done, divided by the planned hours of all jobs given to the person. That is why the planned hours on the job card matter.
  • Attendance — from clocking in and out on the Field Ops phone app.
  • Complaints — problems reported against the worker, with the deduction the manager typed.
  • Score = 60% hours used + 30% attendance, minus the month's complaint deductions.
  • KPA — the manager scores each KPA. For some KPA lines the system suggests a mark from the job cards: how many jobs were finished and how many are past their estimated completion date.

So: assign the technician, type the planned hours, set a realistic estimated completion date, and close the job card when the work is done — that is what makes each person's Field Ops figures correct.
